Dear Member of TENOA,
6th August 2021
Four weeks ago we sent you a letter expressing our hope that we would be able to arrange our 2021 AGM in the The Element Courtyard Garden on Saturday 21st August, to be followed after a short break by a revival of our lapsed Summer Garden Fest. We promised to publish further details in due course. Today is the final day on which formal notice of the AGM, setting out the agenda etc, could be sent out according to TENOA’s Constitution.
This week your Committee met to review the situation as it now prevails regarding changes in Government regulations in the light of Covid 19. Although it seems as if it would be technically possible to proceed as hoped, the Committee was mindful that a number of people are hesitant about assembly even in an outdoor setting. We judged that there are still too many difficulties to make satisfactory arrangements, (whether or not we combine the AGM with the Fest), either for meeting physically or by a method similar to that used for the Zoom EGM earlier this year.
We have also been reminded by TEF that the Financial Year has been changed so that, at 30th September, it now accords with the Red and Green Funds. Our accounts have to be inspected before they are presented for approval and the Independent Examiner appointed for the next Financial Year. This suggests that the best time to hold the AGM is in early November each year.
The Committee is now working towards that timetable, noting nominations that have been made for Officers and Committee for voting at the AGM and serving thereafter. We will endeavour to advertise a specific date as soon as we are in a position to do so, likely to be early in November mindful that the formal notice will be no later than 14 days before the AGM.
Meanwhile we hope that the gradual relaxing of various restrictions will give you confidence in your own plans for the summer and beyond.
Your Committee continues to do what is constitutionally required of it to maintain the interests of TENOA. Please contact us if you have any questions or comments.
